The Production and Purchasing Coordinator is responsible for the end-to-end planning, coordination, and execution of packaging orders, from material procurement through outsourced processing to final production and shipment.
This role acts as the central control point for packaging operations – balancing customer demand with production capacity, material availability, vendor timelines, and physical space constraints within the plant.
The position requires a hands-on, accountable individual who can operate in a fast-paced, high-growth environment, make decisions, and bring structure and clarity to a complex workflow.
The objective of the role is to bring control, visibility, and consistency to packaging operations by effectively managing order flow, materials, and scheduling – supporting both on-time delivery and sustainable growth.
Key Responsibilities
Production Planning & Scheduling
- Own and maintain the packaging production schedule
- Sequence work across:
- Folder gluers (Moll & Bobst Alpina)
- Internal and external die cutting
- Outsourced printing and finishing
- Balance production flow based on:
- Capacity
- Material readiness
- Operational priorities
- Available space on the floor
- Customer commitments
End-to-End Order Coordination
- Manage orders through all stages:
- Roll procurement
- Sheeting
- Printing (external)
- Die cutting
- Folding/gluing
- Finishing (internal/external)
- Maintain clear visibility of job status and proactively manage delays or risks
Delivery Date Ownership
- Commit to and manage realistic delivery dates
- Communicate clearly with Sales and internal teams on:
- Order status
- Risks or changes
- Provide solutions and trade-offs when customer requests exceed current capacity
Purchasing & Material Planning
- Issue purchase orders for:
- Raw materials (paper/board)
- External services (printing, die cutting, finishing)
- Align material deliveries with production schedule
- Manage risks related to:
- Late materials
- Excess inventory
- Floor congestion
Vendor Coordination
- Act as primary contact for external vendors
- Track and manage:
- Order status
- Delivery commitments
- Escalate and resolve issues to maintain production flow
WIP & Space Management
- Actively manage work-in-progress (WIP) across the operation
- Control release of work into production to avoid:
- Overloading the plant
- Excess floor congestion
- Align production timing with downstream readiness
Cross-Functional Communication
- Work closely with:
- Sales / estimating
- Production supervisors
- Warehouse and shipping
- Ensure priorities are clearly communicated and executed
Continuous Improvement
- Improve visibility and structure in:
- Scheduling
- Order tracking
- Capacity awareness
- Support better use of ERP and Excel-based planning tools
Authority & Decision Making
- Owns production schedule and sequencing decisions
- Commits to delivery dates based on operational realities
- Can defer or re-sequence work when required, with clear communication
- Escalates trade-offs or conflicts when needed, with recommended options
Qualifications and Experience
- 3+ years experience in Production planning, Supply chain coordination and Buyer/planner role
- Experience in: Packaging, printing, paper converting, or similar manufacturing environment preferred
- Strong understanding of multi-step production processes, including outsourced operations
- ERP experience required (experience with Microsoft Dynamics AX 2012 R3 an asset)
- Strong Excel skills
- Strong organizational and prioritization skills in a fast-paced environment
- Ability to manage multiple orders in different stages simultaneously
- Clear and direct communicator across all levels of the organization
- High level of ownership and accountability
- Problem-solving mindset with ability to present solutions and trade-offs
- Comfortable working under pressure and adapting to changing priorities
